Change portfolio
Where the analysis comes together in execution. This worksheet pulls together the improvement actions from Customers, Processes, People and IT and brings them to one roadmap.
The five parts
At the top of each part is a counter showing how far along it is.
- Initiatives — improvement actions from the worksheets arrive automatically and you bundle them into initiatives, with or without a proposal from the AI.
- Prioritise — a table to weigh and set the order, a matrix in which every initiative stays reachable, and the resources with how much has been estimated.
- Feasibility — per initiative what still has to be arranged before it can start, with whom and when, and where teams are busy with other work at the same time.
- Roadmap — a timeline in calendar quarters with dependencies and a plateau board. Plateaus are your own data per canvas: you rename, shift, add and delete them.
- Deliver — what has been decided and what is still open. You establish the roadmap as a new baseline, which keeps the agreed horizon, and per initiative there is a brief to hand over, which you can download as PDF.
At Roadmap you export the roadmap with Export (CSV): a file that Jira Cloud can import (numbers as numbers, the owner in the description, priority as High, Medium or Low, dependencies as a link column) and that Azure DevOps, Asana and Excel also read, with the conditions as tasks under each initiative. You take an improvement action out of an initiative, or out of the roadmap when its source is no longer final; deleting first asks for a confirmation that says how much goes with it.
You can move back and forth between the parts: progressive insight is normal.
The dossier per initiative
Every initiative has its own dossier: the decision with the reason ("Include in the programme?"), what is needed to start, when the first result comes, the conditions and dependencies, and the main theme. An initiative chooses its strategic themes itself, with a proposal from the AI that you accept, edit or reject. The dossier is divided into parts that each belong to a tab: a part names its tab, the part for the tab you are on stands out, and when you switch tabs only the matching part opens. If someone else changes the same initiative while you are working, the platform tells you and your change is not saved: nothing is overwritten, and you choose whether to load the latest state or drop your change.
What you do yourself
You bundle, weigh, decide and assess feasibility. Decisions, order and the established baseline are manual work: this is where the consultant's judgement sits.
What the AI does
The AI makes proposals when bundling and for the themes of an initiative. Propose clusters looks at all improvement actions of all worksheets and the existing initiatives, and proposes new initiatives, additions and moves, with what changes along with them. Above the button it shows which worksheets have not delivered anything yet. Until you decide, every proposal visibly shows where it comes from.
What it delivers
An executable transformation roadmap: the answer to what are we going to do, in which order, and why.
The worksheet report shows everything that is on this worksheet, empty fields included, without judgement. It has its own Roadmap chapter with the same timeline as in the worksheet, with the source on each part (working version with reference date, or an established baseline), and the plateaus, open conditions and resources below. There is also a One-pager of one A4 as a business text: what we are going to change, why these choices and how and when. The management summary and the findings and advice are the other documents of this worksheet; see Reporting.
